- To promote the activities of the Institute by disseminating the image of individuals participating in projects, based on the consent expressed for this purpose (Article 6(1)(a) GDPR).
Personal data will be stored for the duration of employment and thereafter for the period specified by law. The image will be processed until the consent for this purpose is withdrawn or until employment ceases.
Recipients of your personal data may include:
- Entities providing services to the Administrator under appropriate agreements,
- Entities authorized to receive personal data under applicable laws (e.g., courts and government authorities),
- People who may view the shared images,
- Members of the Scientific Council.
Personal data such as: name, position, work phone number, work email may be shared with contractors of the Administrator for the purpose of fulfilling contract obligations.
Under GDPR, employees have the right to:
- Access their data, request corrections, deletion, or restriction of processing;
- Data portability;
- Withdraw consent for data processing at any time, without affecting the lawfulness of processing based on consent before its withdrawal;

Provision of data required by law is mandatory, and refusal to provide such data will prevent the execution of the employment relationship. Providing other data is voluntary, but refusal to provide it will prevent the achievement of specific purposes.

Personal data will be processed for the duration of the agreement and then for the period corresponding to the statute of limitations for potential claims arising from the agreement and in connection with the performance of tax, accounting, and archiving obligations required by law.
Providing personal data is completely voluntary, but refusal to provide it will prevent the realization of the goals specified in point 3, including the conclusion of the lease agreement.

The Contractor’s personal data will be processed for the purpose of fulfilling the legal obligations of the Administrator (Article 6(1)(c) GDPR), arising from the Public Procurement Law of 11 September 2019, i.e., conducting a public procurement procedure and selecting the contractor whose offer will be accepted for the contract.
Recipients of the Contractor’s personal data will be those individuals or entities to whom the documentation of the procurement procedure will be made available under Articles 18 and 74 of the Public Procurement Law of 11 September 2019.
The Contractor’s personal data will be stored for the period specified in Article 78(1) of the Public Procurement Law, which is 4 years from the conclusion of the procurement procedure. If the duration of the contract exceeds 4 years, the retention period will cover the entire term of the agreement.
Providing personal data by the Contractor is a statutory requirement. Failure to provide data will prevent participation in the procedure.

- Managing the fanpage according to the terms set by Meta Platforms Ireland Limited and informing via the fanpage about the activities of IGiK and events organized,
- Communication via available features on the Facebook portal (comments, chat),
- Conducting analysis of the functioning, popularity, and usage of the fanpage, which constitutes a legitimate interest of the Administrator (Article 6(1)(f) GDPR).
Any activity that leaves your data on our fanpage is voluntary. Users decide which data we can access by adjusting the privacy settings of their personal profiles.
The Administrator may obtain anonymous statistical data about visitors to the fanpage through the “Facebook Insights” function provided by Facebook, according to the terms of use that cannot be changed. This data is collected using cookies, each containing a unique user code. Cookies are saved by Facebook on the computer or other media of people visiting the fanpage. Cookies are active for two years. The user code, which can be linked to the connection data of registered Facebook users, is downloaded and processed when the fanpage is opened.
Recipients of your personal data are other users of the fanpage.
The Administrator does not transfer your data outside the EU or to international organizations, except for the cross-border flow of data within the Facebook portal, using the standard contractual clauses applied by Meta Platforms Ireland Limited, which have been approved by the European Commission and the decisions of the European Commission indicating an adequate level of data protection. Your personal data will not be subject to automated decision-making, including profiling.
Data processed based on the legitimate interest of the Administrator will be processed during the operation of the fanpage or until an objection to processing is raised.

In accordance with Article 13 of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation, GDPR), I acknowledge that:

Personal data will be processed for the purposes of:
- The legitimate interests of the Administrator (Article 6(1)(f) GDPR), such as ensuring efficient organization of the seminar, establishing contact with its participants, and promoting the activities of the Institute by publishing recordings of the seminar,
- Performing a public task, which involves disseminating and increasing the achievements of the Institute (Article 6(1)(e) GDPR).
Personal data may be made available to authorized entities under applicable laws, as well as entities providing services to the Administrator (e.g., legal, advisory) under appropriate agreements. Recipients of data may also include individuals watching the seminar recordings.
Providing data is entirely voluntary, but refusal to provide it will mean the inability to participate in the scientific seminar.
Under GDPR, participants in scientific seminars have the right to:
- Access the content of their data and obtain copies,
- Request corrections, deletion, or restriction of processing,
- File an objection to processing,
- File a complaint with the supervisory authority – the President of the Personal Data Protection Office (ul. Moniuszki 1A, 00-014 Warsaw), if they believe that the data processing is in violation of the law.
Personal data will not be subject to automated decision-making, including profiling.
Due to the fact that the seminar recordings may be shared on the Facebook social media platform, we inform you that Meta Platforms Ireland’s servers may be located outside the EEA. INFORMATION REGARDING THE PROCESSING OF PERSONAL DATA OF INDIVIDUALS CONTACTING THE INSTITUTE OF GEODESY AND CARTOGRAPHY VIA EMAIL
In accordance with Articles 13(1) and 13(2) of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation, GDPR), we inform you that:

In accordance with Articles 13 and 14 of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation, GDPR), as well as in connection with our cooperation, we provide the following information regarding the processing of your personal data:

- To execute the agreement and fulfill the obligations and rights associated with the concluded agreement (Article 6(1)(b) GDPR),
- To fulfill the Administrator’s legal obligations (Article 6(1)(c) GDPR), arising, among other things, from the Civil Code and the Accounting Act,
- To maintain telephone and email contact regarding matters related to the concluded agreement, which constitutes the legitimate interest of the Administrator (Article 6(1)(f) GDPR), related to maintaining contact regarding the implementation of the concluded agreement,
- To pursue potential claims and defend against them, which constitutes the legitimate interest of the Administrator (Article 6(1)(f) GDPR), related to the defense of the Administrator’s rights.
Recipients of personal data may include entities providing IT, legal, advisory, and property protection services to the Administrator under appropriate agreements, as well as entities authorized to receive personal data under applicable laws (e.g., courts, government authorities).
Personal data will be processed for the duration of the agreement and thereafter, i.e., until the expiration of the limitation period for potential claims arising from the agreement and in connection with fulfilling tax, accounting, and archiving obligations as required by law.
Providing personal data is entirely voluntary, but refusal to provide it will prevent the realization of the goals specified in point 3, including the conclusion of the agreement.
Under GDPR, in connection with the concluded agreement, you have the right to:
- Access the content of your data,
- Request corrections, deletion, or restriction of processing,
- Data portability,
- File a complaint with the supervisory authority – the President of the Personal Data Protection Office (ul. Moniuszki 1A, 00-014 Warsaw), if you believe the processing of your personal data violates GDPR provisions.
Personal data will not be transferred to third countries or international organizations.
